About The Role
As a Scheduling Assistant, you will be responsible for managing team member vacancies across our three residences: Sun Pointe Village, Village at Mill Creek, and Village at Smith Creek. Reporting to the Manager of Human Resources, your duties will include handling team member sick calls, vacation requests, and shift swaps, ensuring that absent team members are efficiently replaced each day.
Working from our Regional Office, this permanent part-time position offers 29.4 guaranteed hours per week, typically on Thursday, Friday, and Saturday from 5:00 AM to 3:00 PM. In this role, you will receive and manage communication from team members regarding sick calls, vacation requests, and shift swaps, prioritizing and filling all team member vacancies across our three residences daily. You will maintain professional relationships with team members, managers, and other stakeholders, ensuring timely and respectful communication. You will update scheduling systems and team member files with scheduling requests, absence documentation, and other related data, while handling all confidential information in compliance with Baptist Housing’s Privacy Policy and applicable privacy legislation.
You will collect and maintain statistics on team member absences for use in our Attendance Management Program and ensure the accuracy of team member data, including availability, contact details, and other relevant information, in coordination with the Human Resources department. You will work as an active member of the Human Resources team, supporting projects, tasks, and team decisions, while demonstrating a genuine attitude of empathy, compassion, and understanding of team members' needs. Your ability to multitask, prioritize, and manage a dynamic workload will be essential to ensuring the smooth operation of our scheduling needs. Maintaining clear and respectful communication channels and sharing all relevant information in a timely manner is critical to success in this role.
Requirements
Previous experience in a scheduling role, preferably with ESP or QHR.
Strong administrative background with excellent organizational and communication skills.
A warm personality, a sense of humor, and the ability to work well in a team.
Strong multitasking and prioritization abilities.
Attention to detail and commitment to maintaining confidentiality.

Compensation & Benefits
